§1Why this exists

Nobody ran for the board to reformat spreadsheets.

Packet prep is the job everyone on a board quietly dreads. It arrives every month, it has a hard deadline, it belongs to no one in particular, and it always ends up with the person least able to say no. Meanwhile the packets look different every month, last month's action items go missing, and half the board opens the email on a phone and gives up. The meeting then spends its first twenty minutes figuring out what happened at the last one.

Automated board packets already exist. They come bundled inside big management platforms, which means you get them only if your management company happens to run the right software. Most boards do not, and self managed boards never will. So we built the version that works anyway: a service, not a platform.

§3How it works

Send us what you have, five days before the meeting

Email or upload the raw materials by the cutoff: treasurer's report, meeting notes, ARC applications, violation notices, vendor bids, homeowner letters. Any format we can open. Spreadsheets, scans, screenshots, a photo of handwritten notes, a forwarded email thread. There is no template to fill in and no software for your board to learn.

We assemble it within two business days

We format every piece into one consistent, bookmarked PDF, carry forward the open action items from last month, and flag anything obviously missing so you can fill the gap before the meeting instead of during it. This is work performed by HOA180, by hand, for your community specifically.

You review, revise once, and approve

The draft comes to you first. One round of revisions is included, corrections, additions, reordering, whatever you want changed. When you approve it, we send the final packet and the homeowner version, ready to distribute. Nothing goes out that your board has not approved.

One assembled meeting packet every month, including the homeowner version and one round of revisions. Nothing else is charged, and no quote is required. The first packet costs the same as the twelfth, and you can stop any month.

§5Who it's for

Works no matter what software your manager uses.

We are not asking anyone to switch anything. This is a standalone service that sits alongside whatever your community already runs.

Self managed boards
No manager, no platform, no budget for either. The packet still has to exist every month, and right now a volunteer is building it. That volunteer gets their Sunday back.
Small management companies
Packet prep for a dozen communities eats the days a manager should spend on the phone with owners and vendors. Hand off the assembly, keep the client relationship, keep every decision.
Boards with a manager who is stretched thin
If your packet routinely arrives the night before, or not at all, this fixes the deadline without renegotiating your management contract or replacing anybody.
New boards and new secretaries
Taking over a packet somebody else used to build is its own small nightmare. We build the template once, then it looks the same every month regardless of who is in the seat.

Your board keeps every decision. We never contact your homeowners, never speak for the association, and never send anything you have not approved.

What exactly do you not do?

We do not give legal advice, we do not prepare or audit financial statements, we do not do bookkeeping or reserve studies, we do not attend meetings, and we do not write minutes from scratch. We do not decide what goes on the agenda or what the board should do about anything. HOA180 formats and assembles what the board provides. The board approves everything.

Do you check whether the numbers are right?

No, and we will not pretend otherwise. Your treasurer or accountant provides the financial information and we present it clearly and consistently. If a figure is wrong when it reaches us, it will be wrong in the packet, which is exactly why every packet comes to the board for review before it is final.

Is this automated?

No. This is a service performed by HOA180 for your community. A person reads what you send, decides how it fits together, and builds the packet. That is why the cutoff is five days out and the turnaround is two business days rather than instant.

What if we miss the cutoff?

Tell us and we will tell you honestly whether we can still make your meeting. Sometimes we can. When we cannot, we would rather say so early than deliver something rushed the morning of. Material that arrives late moves the delivery date, and we say that out loud up front so it never becomes an argument later.

Our documents are a mess. Is that a problem?

That is the normal case, not the exception. Scanned pages, screenshots, a photo of handwritten notes, a spreadsheet nobody has cleaned up since 2019. Send it as it is. Sorting it out is the service.

We already have a management company. Does this conflict?

Not at all. Packet assembly is standalone and works alongside whatever platform or process your manager already uses. Nothing migrates, nothing gets replaced, and your manager keeps doing everything else exactly as before.
